Five signs your business has outgrown its spreadsheets
Spreadsheets are a great starting point — and a terrible operating system. Five signals that it is time for real software.
Almost every business we work with started the same way: a spreadsheet that one determined person built, maintained and eventually came to fear. Here are five signs that the spreadsheet era is ending.
1. Version confusion
When "final_v2_REALLY_final.xlsx" appears in a shared drive, the data has already forked. Real software has one source of truth.
2. Manual re-entry
If staff copy data between systems more than once a day, you are paying for software twice — once in licences, once in labour.
3. Access control by folder permissions
Spreadsheets cannot express "this person may see these columns". Applications can.
4. Reporting takes days, not seconds
When leadership asks a question and the answer takes two days of reconciliation, decisions slow to the speed of copy-paste.
5. The person who built it is a single point of failure
If the spreadsheet's owner is on holiday and nobody else dares touch it, that is not a tool — it is a risk.
If three or more of these feel familiar, it may be time to talk about a proper system. We are happy to take a look, with no obligation.
